To reconcile your Tax and National Insurance (NI) contributions accurately:
Review Full Payment Submission (FPS) Details
In BrightPay, go to the RTI section.
Select the relevant FPS for the periods you want to reconcile.
Open each FPS and check the detailed figures for:
Employee tax paid
Employer and employee National Insurance contributions
Other deductions (if applicable)
This allows you to verify the exact amounts reported to HMRC for each pay period.
Run Monthly Tax and NI Reports
Navigate to the Analysis utility.
Select Payroll Summary > Select the period(s) you want to report on
Generate the report and be sure to include all the columns required
This will summarise total tax and NI liabilities by month and allow you to cross-check with the FPS figures.
Compare with HMRC Records
Log in to your HMRC PAYE account and access the Monthly Statements or P30 Reports.
Compare the figures for each tax month:
Tax deducted
Employer and employee NI contributions
Other statutory amounts such as Student Loan Deductions (if applicable)
Look for any differences between the report generated on BrightPay and the figures held with HMRC
Correct Discrepancies in BrightPay
If you find discrepancies:
Go back to the relevant pay period in BrightPay
Click to Re-open Payslips for affected employees
Adjust any incorrect pay dates, amounts, or deductions
Re-finalise the payslip
Submit an Additional FPS > Correction to earlier submission to HMRC with the corrected details
Repeat Until Fully Reconciled
Continue reviewing and correcting each month’s submissions until your BrightPay records and HMRC figures match.
Keep records of all amendments and submissions for auditing purposes.
