This utility allows users to set up default piece rates that will be available for selection when processing each employee’s payslip.
1) To add a new Piece Rate – select Employer heading, Piece Rates on the menu toolbar, followed by Add.
- Enter an applicable name and description.
- Review the payslip display options, and amend if required (to amend click on the spanner and choose to 'enter value manually')
- Enter the default rate per piece rate
- Select the allowed deductions accordingly
- Indicate whether the piece rate is to contribute towards the gross for minimum wage
Click Save.
2) To view or edit a Piece Rate– select Piece Rates on the menu toolbar. Select the daily rate from the listing and view/ amend accordingly. Click Save.
3) To delete a Piece Rate – first select Piece Rates on the menu toolbar. Select the daily rate from the listing and click Delete on the menu toolbar. Click Yes to confirm you wish to delete the daily rate.
Note: You can add piece rates for employees under the ‘Pay and Benefits’ section on the payslip. There is no option to include ‘accrue annual leave where applicable’ for piece rates—annual leave accrual is only available when paying via hourly rate and if the annual leave accrual option is ticked for the employee.
However, BrightPay can calculate holiday pay as a percentage of gross pay, basic pay, or net pay, using any payment items on the payslip—including piece rates. This means you can use piece rate amounts to calculate holiday pay automatically based on your chosen percentage method, even if they are not linked to leave accrual.
*BrightPay recognises that in some circumstances, particularly for part year workers or employees on zero-hour contracts, the 12.07% calculation method may be unreliable. Users are advised to refer to HMRC guidance for further guidance
Q. Why can’t I delete a piece rate in BrightPay, and how do I resolve the warning?
A. You cannot delete a piece rate in BrightPay if it has been used in a finalised pay period within the current tax year. If the piece rate has been applied to any employee during a pay period that has already been finalised, BrightPay will show a warning and prevent deletion to ensure historical payroll data accuracy. In this case, the piece rate will remain in the system for reporting and audit purposes.
If the piece rate has not been used in a finalised period, you can delete it. Otherwise, you will not be able to remove it for that tax year.
