Q. What is the process for onboarding an employee in BrightPay?
A.
- User navigates to Employees > Employee Onboarding
- User clicks the blue 'Onboard New Employee' button (top right of Employee Onboarding screen)
- User enters: first name, surname, job title, start date, mobile number, email address
- User reviews details and can make changes
- User clicks 'Create Onboarding Request'
- Deadline is set to 2 weeks’ time (this can be edited)
- Oscar sends a WhatsApp message and email to the new employee
- Onboarding appears on the Client Portal (and BrightPay) Employee Onboarding screen with status 'In Progress'
Q. Can my clients use the option to onboard employees in the Client Portal?
A. Yes a user on the Client Portal can onboard employees once the option has been selected in the employer in BrightPay under > Employer > Client Portal > Settings > Tick the permission for Enable employee onboarding for and select if you want all users or just Super Users to have this option available to them.
Q. What information needs to be entered to start the onboarding process?
A. First name, surname, job title, start date, mobile number and email address needs to be entered in order to start the onboarding process.
Q. How is the employee notified?
A. The employee will receive an email notification to advise that they will receive a WhatsApp message and they will receive the WhatsApp message to start the onboarding process.
Q. What if I enter the incorrect phone number for the employee?
A. If the incorrect phone number is entered for the employee then you can cancel the onboarding option by selecting the spanner.
Q. Can I resend the invitation if an employee deletes the Whatsapp message in error?
A. You can resend the invitation to the employee by selecting the spanner opposite the employee’s name on the onboarding employees window and select ‘Resend Invitation’. A new email and WhatsApp message will be sent to the employee.
Q. Can I cancel the invitation to an employee?
A. You can cancel the invitation to the employee by selecting the spanner opposite the employee’s name on the onboarding employees window and select ‘Cancel.
Q. How do I know when an employee submits their details?
A. An email notification will be sent to advise the user an onboarding needs to be approved.
Q. Is there a separate charge for Oscar?
A. Currently we offer Oscar free of charge but there will be an additional cost to use this feature in BrightPay in the future.
Q. Can I onboard employees who have non-UK phone numbers (e.g. an Irish mobile)?
A. Yes. You can use Irish and other international phone numbers.
For Ireland, leave out the 00 at the start and enter the country code 353, followed by the mobile number (no leading 0).
For example: 35386XXXXXXX
For Germany, enter the number as:491XXXXXXXXX
In general, use the country code (without 00 or +), followed by the full mobile number with no spaces.
