As part of ongoing performance and reliability improvements in BrightPay, we’ve introduced an optimised approach for downloading PDF and ZIP files for larger employee groups. This update helps ensure that document generation and downloads remain fast, stable, and predictable, particularly for payrolls with higher employee counts.
Scope of the Change
This behaviour currently applies to:
- BrightPay UK Cloud
It will also be introduced to:
- Client Portal
The batch limit applies when downloading documents for multiple employees, including (but not limited to):
- Payslips
- P11s
- P60s
- P11Ds
- PBIKs
- Automatic enrolment letters
If your payroll has 100 or fewer employees, you can continue to download documents for all employees at once as usual.
Downloading Documents for More Than 100 Employees
If you have more than 100 employees, document downloads are now organised in batches of up to 100 employees at a time.
To make this process straightforward, you can use the Select By feature in BrightPay to group employees into logical subsets before downloading:
- Open the relevant payroll or document screen (e.g. payslips).
- Use the Select By button.
Choose an appropriate grouping method, such as:
- Department
- Payment method
- Any other filter that matches how your payroll is structured
- Generate and download the documents for each subset in turn.
This approach makes it easier to manage large payrolls while keeping downloads efficient and responsive.
Background Download and Notifications
When downloading PDFs, you may see a prompt allowing you to:
- Continue waiting while the file is generated, or
- Select Close and Notify Me
If you choose Close and Notify Me:
- BrightPay will continue preparing the PDF in the background.
- Once the file is ready, you will see a notification in the top right-hand corner of the screen.
- You can then click the notification to download the file.
This allows you to continue working in BrightPay while documents are being prepared.
Improved Visual Progress Indicator
We’ve also enhanced the visual indicator displayed while documents and reports are being processed.
The on-screen progress circle now provides clearer information about the action taking place, such as:
A document being prepared
- A report being processed
This gives better visibility of the status of your download and helps you know when processing is underway and when it has completed.
