The extra cost depends on two things:
- How many employers/clients you will have in total after adding the new one
- How many employees the new employer will have
BrightPay’s pricing has two parts:
1. Employee Charges (per employee)
Each employee is charged based on the bracket your total employee count falls into:

The “Total” figures sometimes shown with these brackets are just examples of the maximum cost if you had the full number of employees in a bracket; your actual charge is always:
Employee cost for the new employer = number of employees × price per employee for the relevant bracket
2. Bureau Charges (flat monthly fee by number of employers)
If you are a bureau, there is a flat monthly fee added to your bill based on the total number of employers/clients on your BrightPay account. This is not per client; it’s one fee for your whole account.

When you add another employer:
- If your new total number of employers stays in the same bracket, your bureau flat fee does not change.
- If your new total number of employers moves into a higher bracket, your bureau flat fee increases to the amount for that new bracket.
Extra bureau cost = new bracket flat fee − your current bracket flat fee
3. How to work out your extra cost
To estimate the extra monthly cost of adding a new employer:
- Work out your new total number of employers
- Employers you have now: Z
- New employers you’re adding: Y (often 1)
- New total employers = Z + Y
- Look up the bureau bracket for this new total and note the flat fee.
- Work out the employee cost for the new employer
- Employees in the new employer: X
- Find which employee bracket X falls into.
- Extra employee cost = X × price per employee for that bracket.
- Work out the bureau difference (if any)
- Your current bureau flat fee: based on Z employers
- Your new bureau flat fee: based on Z + Y employers
- Extra bureau cost = new flat fee − current flat fee (if it changes).
Total extra monthly cost (excl. VAT)
Total extra cost = Extra employee cost + Extra bureau cost
VAT is then added on top of this amount.
If you know your current bill or prepaid amount
If you already know:
- what you currently pay per month, or
- how many employees/employers you have prepaid for in a year,
you can:
- Use the tables above to see which brackets you’re in now.
- Calculate which brackets you’d move into after adding the new employer.
- Work out the extra employee and bureau amounts using the steps above.
- Compare your new total to your current bill to see the difference.
This lets you estimate the extra cost of adding an employer with X employees when you already have Z employers on your BrightPay account.
