You may need to change an email address for different types of users in BrightPay Cloud.
Follow the steps below based on whose email address needs to be updated:
- Administrator / Owner
- Payroll Processor / Billing Manager
- Client Portal User
- Employee
1. Administrator / Owner email address
Because Administrator / Owner access is tied to a BrightID, you can’t directly “edit” the email address. Instead, invite the new email, then remove the old one.
Steps
- Log in to BrightPay Cloud.
- Go to My Organisation > Team Members.
- Click Invite new member.
- Enter the name and new email address, then click Invite.
- Ask the user to:
- Accept the invitation.
- Verify their new BrightID (if prompted).
- Once the new account is active, log in using the new email address, return to My Organisation > Team Members, select the old email account, and remove it (e.g. via Revoke Membership or equivalent option).
Notes
- If you can’t see Team Members, you likely don’t have Administrator/Owner access (you may be a Payroll Processor or Billing Manager).
In this case, please contact an existing Administrator / Owner to complete these steps for you.
2. Payroll Processor / Billing Manager email address
As with Administrators/Owners, these roles are managed via team membership. You’ll invite the new email and revoke the old one.
Steps
- Log in to BrightPay Cloud.
- Go to My Organisation > Team Members.
- Click Invite new member.
- Enter the name and new email address, assign the appropriate role (e.g. Payroll Processor or Billing Manager), and send the invitation.
- When the user logs in with the new email address, return to My Organisation > Team Members.
- Click on the old email account, then select the spanner icon and choose Revoke Membership to remove the outdated access.
Notes
- If you do not have access to My Organisation > Team Members, please contact an Administrator / Owner.
They will be able to invite the new email and revoke the old one for you.
3. Client Portal user email address
Use this when updating the email address for a client who accesses the Client Portal (Standard User or Super User).
Steps
- Log in to BrightPay Cloud and open the relevant employer.
- In the Client Portal, go to the Employer section.
- Locate the client and click the spanner icon to the right.
- Select Edit.
- Update the email address and click Save.
The Client Portal Standard User or Super User can now log in using the new email address.
Notes
- If the new email does not already have a BrightID, the user will be prompted to create one before they can log in.
- If you do not have permission to access this employer or the Client Portal settings, please contact the Administrator or Payroll Processor on the account.
4. Employee email address
Use this when updating the email address used by an employee to access the Employee Portal and to receive payslips/communications.
Steps
- Open the relevant employer in BrightPay.
- Go to the Employees section.
- Select the employee whose email address you want to update.
- Enter the new email address and click Save.
If the new email address does not already have a BrightID, you’ll need to send portal instructions to the employee:
- Go to Employer > Employee Portal > Email Employee Portal Instructions to Employees and follow the prompts.
This will send the employee instructions on how to log in with their updated email address.
Notes
- If you are an employee and cannot make this change yourself, please contact your organisation’s Administrator or Payroll Processor.
They can update your email address and resend your Employee Portal instructions if needed.
